The myBrand Digital Personnel File provides you to store all digital documents created for employees. From the moment an employee joins the organization until they leave, numerous documents related to an employee are produced. These may include employment contracts, personal documents, or copies of certificates and diplomas, among others. These documents need to be stored (prefered digital) in a secure location, in compliance with local laws and regulations.

In addition to storing these documents, it is also essential to be able to retrieve them easily and quick. The myBrand Digital Personnel File is a fully digital employee file within SAP SuccessFactors, facilitating all of this.

With the Digital Personnel File you can:

  • Define the complete setup yourself. This includes establishing folder structures and document types.
  • Set retention periods per document type to comply with regulations (GDPR/AVG).
  • Capture additional details about stored documents, such as expiration dates of certificates, via customer-specific metadata fields.
  • Integrate with the Document Generator and various digital signature providers*, enabling signed documents to be automatically placed in the file.
  • Store documents in the file with Drag&Drop from Windows Explorer, among others.
  • Search for documents across all files (both ‘positive’ and ‘negative’ searching possible, enabling missing documents to be quickly found).
  • Download complete employee files in a single ZIP file.

All functionalities of the myBrand Digital Employee File utilize the authorization roles implemented within SAP SuccessFactors. Additionally, it is possible to define the desired access level per document type and per role within the myBrand Digital Employee File.

The myBrand Digital Employee File is fully integrated with the myBrand Document Generator. This means that it is possible to generate a document with the myBrand Document Generator and immediately save it in the appropriate folder in the myBrand Digital Employee File.

*The myBrand Digital Employee File integrates with DocuSign, ValidSign, SigningHub, and Adobe Sign. It is possible to integrate with other providers of digital signature solutions. A subscription to one of these providers is required for using digital signatures.

The myBrand Digital Employee File is available as a SuccessFactors Extension (Cloud).
